Execu-Move Privacy Policy
Last updated: 30 September 2026
Planning a move means sharing personal details with us. This policy explains what we collect, how we use it to assist with your move, who may receive it and how you can exercise your privacy rights.
It includes information received through our website, WhatsApp and customer conversations. You can read the full policy below.
Who we are
Execu-Move is the trading name of Execu-Move CC. We provide removals, relocation, packing and storage services. This policy explains how we handle personal information when you visit our website, request an estimate or quote, contact us, or use our services.
It covers website forms, email, telephone, WhatsApp and other communication channels you choose to use. The company named above is responsible for the personal information it processes for these purposes.

Information we collect
The information we need depends on your enquiry or move. It may include:
- Your name, telephone number, email address and communication preferences.
- Collection and delivery addresses, move dates, move type, access conditions, inventory lists, photographs and requested services.
- Messages, voice notes, attachments and information you provide during a conversation, together with message identifiers and delivery status information.
- Quotes, bookings, customer references, invoices, payment status and records needed to manage your move.
- Identity, customs or shipment documents where required for an international relocation or another specific service.
- Website usage information, such as pages visited, device and browser information, IP address, referral source and advertising or campaign identifiers, where the relevant tools are enabled.
Please only send information relevant to your enquiry. Avoid sending payment card details, passwords or sensitive identity documents through a general chat. If documents are needed, ask your consultant how to provide them securely.
Where information comes from
We collect information directly from you through forms, messages and conversations. We may also receive it from someone arranging a move on your behalf, an employer, a referral partner or a lead platform through which you requested contact. Website and messaging platforms may provide technical information about your interaction.
If you provide another person’s information, please ensure that you are authorised to do so and make this policy available to them.
How we use your information
We use information to respond to enquiries, prepare estimates and quotes, request an inventory, allocate a consultant, arrange surveys, manage bookings and coordinate your move. We also use it to send relevant service updates, manage accounts and complaints, improve our services, measure the source and performance of enquiries, and meet legal obligations.
Providing enquiry information is generally voluntary. Without contact details, move information or documents required for a particular service, we may be unable to respond, quote accurately or carry out the service. We explain any mandatory requirements when requesting the information.
Lawful processing and marketing
We process information on a lawful basis, such as your consent, steps to arrange or perform a contract, a legal obligation, or a legitimate interest that is permitted under applicable law.
A request for a quote or a WhatsApp conversation does not automatically subscribe you to promotional messages. Electronic marketing requires your consent or a qualifying existing customer relationship under applicable law. You can opt out using the unsubscribe option, by replying STOP to a marketing message, or by contacting us. We may still send necessary updates about an active enquiry or booked service.
WhatsApp and customer conversations
When you message our WhatsApp Business number, your conversation may be received through Meta’s WhatsApp Business Platform. Authorized staff may access it to respond and assist with your move.
Our connected systems may match your number or email address to an existing enquiry, attach the conversation to that record, send an acknowledgement and notify the responsible consultant. This helps us avoid duplicate enquiries and keep the relevant team informed.
WhatsApp and Meta also process information under their own applicable privacy notices. This policy explains Execu-Move’s handling of the information it receives.
Automated assistance
Where an automated assistant is used, it may help answer routine questions, collect move details, summarise a conversation and route it to a consultant. Relevant message content may be processed by the technology providers used to support that feature.
Automated responses can be incomplete or inaccurate. You can ask to speak to a consultant. An automated response or preliminary estimate is not a binding quote or booking confirmation; your consultant will confirm the applicable terms.
Who may receive information
Information may be shared with authorised sales, customer service, operations and finance staff, and with providers supporting our website, messaging, email, lead management, storage and reporting.
We may also share information needed for your move with packing teams, transport and storage providers, overseas moving partners, customs agents, insurers or other service partners.
We limit sharing to the relevant purpose. Information may also be disclosed where a lawful request or legal obligation requires it. Providers acting on our behalf are required to handle information under appropriate confidentiality and data protection arrangements.
Processing outside South Africa
Cloud services and international relocation partners may process information outside South Africa. Such transfers require a lawful basis and appropriate protection, for example contractual safeguards or a transfer necessary to arrange or carry out your requested service. Contact us for information about the recipients and safeguards relevant to your move or enquiry.
Cookies and website measurement
Our website may use cookies and similar technologies for essential functions and, where enabled, analytics and advertising measurement through tools such as Google Analytics and Meta. Optional tracking is subject to applicable consent requirements and the choices available on the website.
You can manage cookies through the website’s controls, where available, and your browser settings. Blocking some cookies may affect website functions. These choices do not automatically remove information already supplied through a form or conversation.
Retention and security
Retention depends on the record and its purpose. An open enquiry may be kept while we respond and follow up; booking and financial records may need to be kept for contractual, accounting or legal purposes. Complaints or disputes may require longer retention. Information no longer needed for a lawful purpose should be deleted or de-identified.
We use reasonable organisational and technical safeguards suited to the information and systems involved. No online service is completely secure. If a security compromise requires notification, we will notify the relevant authorities and affected people as required by law.
Your rights and requests
Subject to applicable law, you may ask for access to your information, correction of inaccurate records, or deletion of information that we are no longer entitled to retain. You may also object to applicable processing, withdraw consent where consent is the basis, and opt out of direct marketing. Withdrawal does not invalidate earlier lawful processing.
Email privacy@execumove.co.za with your request. Include the contact details used for your enquiry so that we can locate the relevant records. We may need to verify your identity or authority before disclosing or changing information.
To request deletion, tell us which information you want removed. We will assess your request under applicable law. Records that must be retained for legal, contractual or accounting purposes may be kept for as long as those requirements apply.
You can also complain to South Africa’s Information Regulator. Visit https://inforegulator.org.za/complaints/ or email POPIAComplaints@inforegulator.org.za. You do not have to contact us first to exercise that right.
Children and policy updates
Our enquiry and booking services are intended for adults. Please avoid sending children’s personal information unless it is necessary for a service and you have authority to provide it. Where processing requires additional authorisation or safeguards, those requirements apply.
We may update this policy when our services or processing practices change. The current version will be available on this page, with its last updated date.
